Note

This article applies to firms in the US and Canada on seat-based pricing (legacy). If your firm is outside the US and Canada, see common questions about seat-based pricing there .

Find answers to common questions about seat-based pricing and managing your seats.

1. How does seat-based pricing work?

Each team member needs a seat, and seats are assigned to team members as needed. The firm owner needs a full-term seat. Plans, seat types, and prices depend on where your firm is located.

Seat-based pricing has three plans:

  • Essentials: for single-user firms, with basic support
  • Pro: for any team size, with standard support
  • Business: for any team size, with premium support

There are three seat types:

  • Full-term seats: a 1-year, 2-year, or 3-year term, with multi-year discounts up to 12.5%. All full-term seats share the same renewal date.
  • Monthly seats (Pro only): $100/month per seat, billed monthly
  • Seasonal seats (Business only): $500 USD or $600 CAD per seat for 4 months

Team members can have full-term, monthly (Pro), or seasonal (Business) seats. See plan features and seat prices .

2. What are seasonal seats and who can use them?

Seasonal seats are 4-month subscriptions for busy season staffing. They cost $500 USD or $600 CAD per seat and are billed every 4 months from the purchase date.

Seasonal seats are part of the Business plan. On the Pro plan, monthly seats ($100/month) cover temporary staff.

3. Can I purchase seats with different billing cycles for my team members?

You can combine full-term seats with monthly or seasonal seats in your subscription. However, all seats of the same type automatically align to a single renewal date:

  • Additional full-term seats align to your existing full-term renewal date
  • Additional monthly or seasonal seats are aligned to the renewal date of their respective seat type. For example, if your monthly seats renew on February 1 and you add another monthly seat on January 16, you’re charged for 15 days (the time remaining until February 1). Both monthly seats then renew together on February 1.

4. Can I transfer seats from one team member to another?

You can swap seats between team members . Both team members can immediately exchange their seat types without needing available seats.

5. How are seats I add later priced?

When you add seats for new team members, they automatically align to the renewal date of existing seats of the same type. You pay a prorated amount based on the time remaining until that renewal date.

For example:

  • If your renewal date is November 1 and you add a full-term seat on December 1, you’re charged for 11 months of service. All full-term seats renew together on your original renewal date.
  • If your monthly seats renew on December 1 and you add another monthly seat on November 16, you’re charged for 15 days (the time remaining until December 1). Both monthly seats then renew together on December 1.
  • If your seasonal seats renew on March 1 (4 months after a November 1 purchase) and you add another seasonal seat on January 1, you’re charged for 2 months (the time remaining until March 1). Both seasonal seats then renew together on March 1.

6. Can clients access the portal after the firm’s subscription expires?

Clients can access the portal as long as the firm owner’s full-term seat is active. The portal stores sensitive documents for your firm and your clients, so access depends on an active subscription.

7. Can I reduce my seats?

You can schedule a seat reduction for your next renewal date. Scheduled changes appear as alerts on the Plan overview tab.
