Track and manage tax return delivery

This article applies to firms in the US.

After creating a tax return delivery, you may need to track its status or make updates. You can view all tax return deliveries in one place, check whether clients have viewed, approved, or signed them, edit delivery details, resend without changes, or delete deliveries when needed.

View all tax return deliveries

To check all of your tax return documents with summaries, go to Clients > Accounts > Documents > Tax return delivery. The table shows the document name, status, invoice, approval, and signature details, along with when the delivery was created and the document uploaded, and the reminders status. This column and status reference explains what each one means.

Edit tax return delivery

Any changes made to a sent tax return delivery are automatically visible to the client.

You can edit the Group pages for client delivery , Intro , Tax return summary , and Invoice sections at any time—even after you have sent the tax return.

How to edit the tax return delivery:

  1. Go to Clients > Accounts > Documents > Tax return delivery.

  2. Open the document you want to edit:

  • To edit Group pages for client delivery and Intro sections, just make changes; they will be saved automatically.

  • To remove an invoice from the Invoice section, click the X icon near the amount.

  • To edit Tax return summary or Invoice, click the pencil icon. Then make the necessary changes and click Save.
  1. If you want your client to receive tax return delivery in To-do list, click the Resend to client button in the top right.

Work with a changes request (Beta)

The functionality is being developed and currently available for Beta users. Docs on using the feature are being prepared.

If approval is required , your client can request changes instead of approving the tax return. When they do, the tax return delivery moves to Declined, with Changes requested shown in the Approval column, and you receive an Inbox+ and email notification. TaxDome shows a banner with the client’s name—click See details to read their message.

To view the message and decide what to do next:

  1. Go to Clients > Accounts > Documents > Tax return delivery.

  2. Open the tax return delivery marked as Changes requested.

  3. Click See details, then read the client’s message. From here, choose one of three options:

a) Resend without changes: Use this if the information the client is asking about is already in the package and just needs to be pointed out. Click Resend without changes, add a note telling the client what to review, and click Resend to client. The tax return delivery returns to Sent for review, and approval returns to Awaiting approval—the documents, settings, and any linked invoice or job stay the same. Your note is included in the email notification the client receives.

b) New tax return delivery: Use this if the document itself needs updating. Create a new tax return delivery with the necessary changes.

c) Message client: Use this to ask the client directly if it’s unclear what they’re requesting.

Work with delivery documents

Documents that are part of a tax return delivery are marked with a image icon in the document list, indicating they are linked to an active delivery.

As protected documents, the following actions are not available directly on them:

To request e-signatures, approvals, or link an invoice, do so through the tax return delivery .

Attention

If you delete a document that is part of a tax return delivery, the delivery and all its content—intro, summary, payment vouchers—will be permanently deleted as well.

Manage signatures

Once a tax return delivery has been sent, signing issues can still come up—a client may fail KBA verification, sign outside TaxDome, or need their details updated. To handle these situations, go to the Tax return delivery page, click the three dots next to the delivery, and select Manage signature request. Then choose one of the following actions:

  • Edit: Before at least one signer has signed, you can edit the signature request: remove or add signers, change details, and resend.

  • Void (mark as signed): If a client signed the tax return outside of TaxDome, use this action to mark the signature as completed. The tax return delivery will be marked as complete, the pending action will be removed from the client’s view, and, if the delivery package is linked to a job, the job will advance automatically.

  • Cancel: Use this option to cancel a signature request entirely. The client will not see the cancellation, and it will not affect job movement in the pipeline.

If a client failed Knowledge-Based Authentication (KBA) twice, you can give them another chance. To do this, click the three dots next to the delivery and select Reset KBA. The client can attempt to sign again.

Track and edit package reminders

When sending a tax return delivery , you can set up email reminders to nudge clients to review the delivery package. To track reminder statuses, go to the Tax return delivery page in the Documents section of the client’s account. The Reminders column shows the following statuses:

a) Counter (link): The package was sent, and reminders are active. The counter shows how many reminders were sent, how many are left, and the date of the next one.

b) Counter (text): The client has completed all required steps, and reminders stopped.

c) Add (link): The package was sent, but reminders are not set up yet.

d) Add (text): The package has not been sent to the client yet.

To view or edit reminders, click the link in the Reminders column next to the tax return. There, you can set or change the number of reminders and the interval between them, or turn them off.

Download and print document

You can download or print a tax return directly from the Tax return delivery page. Depending on your needs, you can get the full document or only the signed pages—with or without the certificate. To download or print a tax return delivery:

  1. Go to Clients > Accounts > Documents > Tax return delivery.

  2. Click the three dots next to the tax return delivery and choose one of the options:

a) Print document.

b) Download. If the document is signed, you can also select what to download:

c) Signed document (all pages).

d) Signed pages only.

e) Signed pages with certificate.

View audit trail

On the Audit trail page, you can check the full event history for the tax return delivery. To view the document’s history:

  1. Go to Clients > Accounts > Documents > Tax return delivery.

  2. Click the three dots next to the tax return delivery and choose Audit trail.

Configure tax return delivery unlock for ACH payments

If you link a tax return delivery to an invoice and don’t want clients paying by ACH to wait for the document to unlock, you can set it to unlock immediately after payment .

In this case, the invoice will be unlinked from the document right after the payment is made, and the client can view the tax return delivery straight away.

Attention!

This setting applies to all invoice-locked documents , not only tax return deliveries.

Delete tax return delivery

If you need to remove a tax return delivery, you can delete it along with all associated content. Deleting a delivery permanently removes the intro, summary, and payment vouchers, cancels any pending signature request, and moves source documents to trash for 30 days. If the delivery was linked to any jobs , those links are removed automatically—the job does not automove as a result.

To delete tax return delivery:

  1. Go to Clients > Accounts > Documents > Tax return delivery.

  2. Click the three dots next to the tax return delivery you want to delete.

  3. Click Delete and confirm the action.

Note

The linked invoice will not be deleted and can be found on the Invoices tab.

How do I know client reviewed and signed document

When the client will review and sign tax return, you will get a notification in your Inbox+ . Click on the Go to… inside notification to open it and review the status.

Also, you can track status in Clients > Accounts > Documents > Tax return delivery and in the job card.
