Use AI for documents

Clients often upload documents with names like IMG_30459.pdf, leaving you to rename and sort them by hand. When a client uploads a document through the client portal or mobile app , TaxDome AI matches it to the checklist, renames it and tags it. It works in the background, so your workflow stays the same—you find named, tagged documents in the client’s account.

Turn on AI for documents

1. Go to Settings > Firm settings and open the TaxDome AI tab.

2. In the Documents section, toggle on the features you need: Match documents to checklist, Rename documents and Assign tags.

Each feature works independently and applies to the whole firm and all of its clients. Only the firm owner or admins can change these settings.

Supported documents

TaxDome AI works with common US tax forms, passports and driver’s licenses. It reads PDFs and all common image formats you can upload to TaxDome, such as JPG, PNG and HEIC.

Renaming and tagging apply to documents clients upload from the client portal or mobile app. Files uploaded by your team, by third parties or through file requests keep the name they were uploaded with.

Match documents to checklist

When your client uploads documents to a document checklist , TaxDome AI analyzes each document and matches it to the right checklist section—for example, a W-2 form to the W-2 section. Clients don’t need to sort documents themselves, and you can track checklist progress in real time. You can assign documents that couldn’t be identified manually.

Rename documents

When your client uploads a document with a random name (for example, IMG_30459.pdf), TaxDome AI renames it based on the document type using the [YEAR_FORM_NAME] template (for example, 2024 1099-C New Tech LLC.pdf).

AI suggestions can occasionally be wrong. Clients see the suggested name during upload and can edit it or turn renaming off for that upload. Your team can rename files at any time.

Assign tags

TaxDome AI assigns tags to supported documents so you can find them using filters. Tags are visible to your team but not to clients, and your team can change tag assignments at any time.

TaxDome AI uses its own set of tags, which were added to your firm automatically. To stop using one, go to Templates > Tags, open the AI tags tab and delete it as you would any other tag. Deleted AI tags appear under Deactivated tags on the TaxDome AI tab of your firm settings—click a tag there to activate it again.
