Create, edit, delete custom fields

Custom fields let you extend the default CRM profile with any data points your firm needs — for accounts (such as Address, City, or Type) and for contacts (such as Birthday or Best Time to Call).

Note

A custom field can be created by a firm owner, admin or team member with access rights to manage custom fields .

Create account custom fields

You can create account custom fields either from the Custom fields page, from the client’s account or when importing your client data to TaxDome.

From the Custom fields page

You can add account custom fields whenever you want:

  1. Go to Templates > Custom fields from the sidebar menu, then click Add field.

  2. Enter a name for the field (for example, EIN, SSN or Best time to call)

  3. Select the field type , then click Save. Once you’ve created the new custom field, it will be available for all of your accounts.

While importing

You can create account custom fields right while importing your client data .

From a client profile

Inside a client account, go to the Info tab, click Edit, then click on the three dots to the right of Account info and in the Details & Custom fields section, select Add custom field. Fill in the name for your new custom field, select the type , then click Save. Once you’ve created the new custom field, it will be available for all of your accounts.

You can also add custom fields the same way when creating a new account.

Create contact custom fields

You can create contact custom fields either from the Custom fields page or when importing your client data to TaxDome.

From the Custom fields page

Add new custom fields to your contacts whenever you want:

  1. Go to Templates > Custom fields from the sidebar menu bar, then switch to the Contacts tab and click Add field.

  2. Enter a name for the new custom field under Field name—for example, BirthdayEINSSN or Best time to call.

  3. Select the field type  and click Save. Once you’ve created the new custom field, it will be available for all of your contacts.

While importing

You can create custom fields for contacts while importing your client data .

Edit & delete custom fields

You can always manage the custom fields you’ve created. Go to Templates > Custom fields from the left menu bar, then choose Contacts or Accounts.

Note

You can’t change the field type after creation. To use a different type, delete the custom field and create a new one.
  • To edit: Click the pencil icon to the far right of the field you want to edit, make your changes, then click Save.

  • When you edit a custom field of the Dropdown type, you can change the order of options by clicking and holding the six dots icon to the left of the option name; to add more options click Add option, to delete some — click the trash icon to the far right of the option name.

  • To change the order in the client account: Click and hold the six-dot icon to the far left of the field and drag-and-drop it.

  • To delete: Click on the trash can icon to the far right of the field you want to remove, then confirm. Once a field has been deleted, it will no longer be available in your contacts or accounts. Also, this affects all templates in which the custom field was used as a shortcode .

If you see Synced to CRM next to the custom field name, that means that this field value can be updated via organizer answers. Click Synced to CRM to see a list of organizer templates where this sync is set up. Even if synchron

Field Description
Text Stores any additional information about your clients. Supports all characters. For example: Job Title, Pronoun.
Date Stores dates. Supports MMM-DD-YYYY, MMM/DD/YYYY, MM-DD-YYYY, and MM/DD/YYYY for US firms; DD-MM-YYYY and DD/MM/YYYY for non-US firms. The date can be selected from a calendar or typed in manually. Learn more about changing date formats .
Dropdown Allows selecting from a predefined list of options. Supports all characters. Two subtypes:
Single select — one option can be selected at a time;
Multiselect — any number of options can be selected; enable by toggling Allow multiselect on.
Field Description
Email Stores email addresses for a contact (for example, a secondary work or personal email). Portal access, notification, and email sync settings can be toggled per address. Must be in [email protected] format. Available for contact custom fields only.
Number Stores phone numbers, SSNs, EINs, and similar. Supports digits and +, -, comma, and period characters.
URL Stores links to websites or social profiles. Accepted formats: example.com, www.example.com , or https://www.example.com .
User Stores a reference to a team member (for example, a previous tax preparer). Available for account custom fields only. Team members selected in User fields must have account access. For assigning tax preparers, consultants, or bookkeepers, consider account roles instead — they support task and job assignment automation.
